# Issues with Session Access
Occasionally, participants may be unable to see a session or enter the room despite having a link. In most cases, this is due to the assigned group structure.
# Why don't I have access?
Access to sessions is managed through a clear permission system. A session is only visible to people who are assigned to the corresponding group.
The Access Logic for Group Sessions
- A Session is always assigned to a specific Group.
- Specific Contacts are assigned to that Group.
- Only contacts within this group can see and enter the session.
If access is missing, the person in question is most likely not a member of the group assigned to that session.
Ad-hoc Sessions
Unlike group sessions, access to Ad-hoc Sessions is managed via the waiting room.
# Checklist: How to Verify Access (for Group Managers)
If a participant is experiencing issues, please go through the following steps as a Group Manager:
# 1. Login Check
Can the participant log in generally and see the "My Sessions" area?
- No: The problem lies with their credentials (see question_exchange FAQ Account & Password).
- Yes: Proceed to step 2.
# 2. Check Contact Status
Is the person already connected with you?
- Check this under Administration > My Contacts.
- If the person is not listed there: Send a contact request. The participant must accept this request before they can be added to a group.
# 3. Verify Group Membership
Is the participant a member of the correct group?
- Go to Administration > My Groups.
- Click the Actions button for the desired group and select Edit.
- Check if the participant's name is selected in the list. If not, add them here and save your changes.
# 4. Verify Session Assignment
Is the correct group assigned to the session?
- Check this under Administration > My Sessions.
- Click the Actions button for the affected session and select Edit.
- Verify which group is selected there. Only members of this specific group have access.
Note for Ad-hoc Sessions
In Ad-hoc Sessions, complex group management is usually not required as guests enter via a direct link. If problems occur there, please ensure the session link was copied and sent correctly.
